*Accessibility Policy for LearnLots

1. Introduction
At LearnLots, we are committed to making our services accessible to as many students and families as possible. This Accessibility Policy outlines how we remove barriers, support different needs, and provide fair access to online group tuition, education consultancy, and exam marking services.
2. Scope
This policy applies to:
• Our website and digital resources
• Online live sessions and any session recordings provided for catch-up
• Communications with parents, students, tutors, and school staff
3. Our Commitment
We aim to:
• Design learning that is clear, structured, and easy to follow
• Make anticipatory adjustments and adopt a universal design approach
• Ensure pedagogies are inclusive
• Offer reasonable adjustments so all students can take part and make progress
• Provide information in formats that are usable for different needs
• Respond promptly when accessibility issues are raised
4. Responsibilities
Management will:
• Make sure accessibility is considered when creating resources and planning sessions
• Act on accessibility feedback and improvement actions
Tutors will:
• Teach in a clear, inclusive way and check understanding
• Use accessible resources where possible (readable fonts, clear layouts, sensible pacing)
• Raise any barriers or concerns so they can be fixed
Students and Parents will:
• Tell us about accessibility needs as early as possible
• Work with us to agree practical adjustments
• Raise issues quickly if something is making access difficult
5. Reasonable Adjustments (including SEND)
We will consider reasonable adjustments on a case-by-case basis. Examples may include:
• Extra time to process instructions, or more check-ins during sessions
• Alternative formats (for example, larger text or simplified layouts)
• Adjusted delivery (for example, breaking tasks into smaller steps)
• Support with using the platform (for example, joining, audio settings, chat tools)
Where relevant, we may ask parents or schools to flag reasonable adjustment needs early so we can discuss and agree practical support. If an adjustment is agreed, we will explain:
• What will change
• When it will start
• How we will review whether it’s working
6. Accessible Online Sessions
We aim to make online sessions accessible by:
• Using secure, reliable online platforms and clear joining instructions
• Using clear resources and avoiding cluttered layouts
• Giving instructions both verbally and in writing where helpful (for example, in chat)
• Building in short pauses or breaks when appropriate to reduce screen fatigue
• Encouraging students to ask for clarification without pressure
7. Recordings and Catch-Up Access
Where sessions are recorded for safeguarding and catch-up, we will aim to ensure recordings and any linked resources are provided in a way that is usable and secure. Access is limited to authorised personnel and enrolled students.
8. Website and Digital Content
We aim to make our website and downloadable resources accessible by:
• Using clear headings and simple page structures
• Writing in plain language where possible
• Using good colour contrast and readable text sizing
• Avoiding “image-only” content where the meaning would be lost
• Checking new resources for basic accessibility before publishing
Where we use third-party tools or platforms, we will choose reputable providers and raise issues with them if we identify barriers.
9. Accessibility and Data Protection
Accessibility support may involve sharing relevant information (for example, learning needs or support requirements). We only use and store personal information for legitimate purposes linked to delivering our services, and we protect it with appropriate security measures. 10. Raising an Accessibility Concern (or Making a Request)
If you have an accessibility concern or want to request an adjustment, please contact us with:
• The barrier you’re facing (what’s getting in the way)
• When and where it happens (website, resources, live session, recordings, etc.)
• What would make it easier (if you know)
We will respond as promptly as possible and work with you to agree next steps.
11. Complaints
If you are not satisfied with how an accessibility concern has been handled, you can use our complaints process.
12. Monitoring and Review
This policy will be reviewed annually or sooner if needed (for example, after feedback, incidents, or service changes). We encourage feedback from students, parents, tutors, and school staff to help us improve accessibility over time.
